The Role

We are seeking a meticulous and high-performing Property Inventory Specialist to join our dynamic team. This role is critical in maintaining the high standards of our premium property portfolio and ensuring complete transparency for all parties involved in the rental process.

Key Responsibilities:

  • Schedule Management: Independently coordinate and book property inspections with tenants, maintaining a high-efficiency workflow to complete an average of 15 inspections daily.
  • Proactive Communication: Confirm all site visits prior to attendance and liaise professionally with local offices for key collection and return.
  • Comprehensive Inspections: Conduct thorough physical assessments of properties, documenting:
  • External condition and communal areas.
  • Detailed internal condition and decorative state.
  • Compliance with current health and safety legislation.
  • Identification of potential hazards or maintenance risks.
  • Reporting Excellence: Produce high-quality, accurate reports through the InventoryBase platform, ensuring all findings are submitted for approval promptly.
  • Maintenance Liaison: Act as a vital link for the management team by feeding back urgent maintenance issues to Property Managers to ensure swift resolution.
  • Stakeholder Reporting: Submit finalized reports to both Landlords and Tenants, providing written summaries and making proactive calls to discuss any noted issues.
  • Follow-up Coordination: Diarize and track follow-up actions for the Property Management team to ensure no detail is overlooked.

Job Requirements:

  • Technical Proficiency: Extensive experience using InventoryBase or similar industry-leading inventory software.
  • Detail-Oriented: A proven ability to produce highly accurate, detailed, and professional property reports.
  • Organization: Exceptional time-management skills with the ability to manage a high-volume inspection schedule without compromising quality.
  • Communication: Strong interpersonal skills with the confidence to liaise effectively with tenants, landlords, and contractors.
  • Autonomy: A self-motivated professional who thrives working independently and meeting strict daily deadlines.
